Important Event Reminders

• Reservation Hours: 5:00 pm to 12:00 am (midnight); unless additional hours are added. At the conclusion of the event, guests will have up to 30 minutes to exit the venue.
• Management: Event Managers are on site to oversee decorating, catering, concessions, and DJ services and are available should a client need to voice a concern or have any questions regarding the services purchased and provided by GEC.
• Timeline: If DJ was booked with GEC, the timeline agreed upon during the Final Review will be provided to the DJ. Making last-minute changes should be avoided to prevent confusion and possible errors. Changes to GEC service times are not allowed.
• Final Review & Room Layout: After the Final Review, GEC cannot guarantee changes can be made to the layout, decorating, catering, and timeline. 
• Slide Show: Please bring your USB to Unique, Marquis, Le Rose, and Crown Jewel on the day of the event and submit the USB to the Concession attendant or Event Manager. For rental in all other venues, please submit the USB to the GEC office 14 days prior to the event. Images are to be formatted as JPG or MP4s.
• Vendor Setup: Vendors must set up on the day of the event – see chart. Perishable items (cake, cupcakes, fruit, candy, etc.) must be delivered within 1 hour of the event. The client is responsible for communicating the set-up & pick-up times with all their vendors. Vendors will have access to the venue for set up as shown on the chart below. The client and vendors have one hour after the event concludes to remove all their items.

• NOT Allowed: Glitter, confetti, rice, sand, unwrapped bales of hay, birdseed, gel beads, ceiling decorations, glow sticks on cords/lanyards, markers, open flame candles, smoke, fog, or haze.
• Smoking: All venues are non-smoking facilities. E-cigs or vapes of any kind are NOT allowed.
• Alterations/Adhesives: Nails, tape, staples, or tacks are NOT allowed. NO permanent alterations to the leased premises, including tables, chairs, stage, and walls may be made.
• Lost & Found: Personal items found at the end of the night will be held at the main office.
• Catering: Between 6:00 pm and 8:00 pm. No outside food is allowed during the event. (See Late Night Snack Policy).
• Cake Cutting: Offered in The Diamond Package or may be purchased a-la-carte. Please take any photos before the cake cutting and inform staff if any cake is to be preserved.
• Keg Beer & Beverages: (1) keg is allowed from 5:00 to 8:00 pm. See details below.
  • Unique, Marquis, Crown Jewel, and Le Rose Ballroom: (1) “pony keg” is permitted.
  • All other venues: full-size keg allowed. The client is responsible for providing cups, ice, and a pump for “keg beer.”
  • Champagne/Wine/Non-Alcoholic Bottles: (12) bottles of champagne, (6) bottles of wine, and (6) non-alcoholic bottles are permitted for toast. Bottles must be checked in at the Bar upon arrival. Please bring champagne glasses and an EMPTY ice chest the venue will add ice for bottles.
  • Hard Liquor: Guests may bring hard liquor. Setups and beverages may be purchased at the bar.
• Late Night Snack Policy: Clients may bring a late-night snack during the final hour of the event. No caldo, menudo, or sopapillas. 
• Leftover Food: Upon the client’s request, catering staff will pack and seal leftovers in aluminum trays and take them to concessions. Once the leftover food has been packed, trays cannot be reopened. The client is responsible for collecting the trays from the concession’s attendant at the end of the event.
